Start without categories. Write every recurring and discretionary expense as a neutral spend item. Remove the emotional charge of the needs/wants label before you begin.
Neutralise firstFor each item, ask: if this disappeared tomorrow, would my life function or would it break? Function = want. Break = need. Grey zone = trade-off item requiring a decision.
Apply the testThe Trade-Off Framework · Steps 3 & 4
These are the wants that function as needs for your specific life — the gym membership that protects your mental health, the streaming service that is your primary entertainment. Name them explicitly.
Name themFor every trade-off item, score it 1–5 on joy, frequency of use, and alignment with your stated goals. Items scoring below 9 total are candidates for reduction or elimination.

If you share finances, the non-negotiable list must be built together. Each person names their top three. Anything on both lists is automatically protected. Conflicts become visible and negotiable.
Build togetherCreate a single "discretionary trade-off" budget line for items that are neither clear needs nor clear wants. This single line absorbs the grey zone and prevents category creep across the rest of your budget.
Create the lineAfter the Work
After applying the trade-off framework:
No more grey-zone paralysis. Each item is a need, a non-negotiable want, or a trade-off line item.
Shared non-negotiables are named and protected. Conflicts are surfaced, not avoided.
Grey-zone items below the joy/frequency threshold are candidates for elimination.
The goal is not to spend less. It is to spend in alignment with what you actually value.
